Know exactly where every shilling went in your yard.

Yard Ledger tracks what you paid for each vehicle, what you sold it for, who still owes you, and what they paid this month — then chases the balance by SMS. Built for the phone already in your pocket.

No card needed. Set up in about two minutes.

The whole yard on one screen

No spreadsheets that drift out of date, and no mental arithmetic at the end of the month when you are tired.

Per-vehicle profit

Every cost line a Kenyan yard actually carries — landed cost, mechanical, paintwork, NTSA transfer, broker commission, fuel, showroom fee. What it sold for. The margin on each unit, not just the total.

Stock that tells the truth

In-stock and sold are kept separate, so what looks like inventory is inventory. Filter by period and see where the money actually sat.

Chase balances by SMS

Send a debtor a balance reminder straight from their record, and keep a dated log of every message with what it cost you.

Hire-purchase instalments

Record each instalment against the debtor. What is owed, what is paid, and what is due next — without reconstructing it from receipts.

Roles, not shared logins

Give a salesman their own account. Everyone in the yard sees only the data their role allows, and every change is stamped with who and when.

Bring what you already have

Import your current spreadsheet and carry on as if you had always used this. Export any time you need to hand someone a file.

See the profit on every unit

Put in what you paid and every cost you carried, and Yard Ledger works out the margin the moment you record the sale — not at the end of the month, from memory.

  • Every cost line a Kenyan yard actually carries — mechanical, paint, NTSA, broker, fuel, showroom
  • In-stock and sold kept separate, so the margin is on real sales only
  • One margin per vehicle, and the total across the period you choose

Every debtor, every shilling, at a glance

The list that matters most, sorted by who owes the most and who is late. One tap to message them.

  • Balances split into settled and still owing
  • Reminder asks for this month's instalment, not the whole balance
  • Next-of-kin on file, in case a customer goes quiet

Instalments that keep themselves straight

Record each payment as it comes in. See what is paid, what is due next, and how far along a hire-purchase agreement actually is — without piecing it together from a stack of receipts.

  • Each payment recorded against the debtor, not rebuilt from receipts
  • What is paid, what is due next, and the date it falls on
  • A running balance that always agrees with what the customer owes

Reminders you can send in one tap

Ask for this month’s instalment straight from the debtor’s record. Every message is dated and logged, and you can see your monthly allowance before you send.

  • The reminder asks for this month’s instalment, not the whole balance
  • 200 reminders a month included, with the count still left
  • A dated log of every message sent, and who it went to

Your records outlive the laptop

The unglamorous part, done properly, so a hard reboot or a stolen phone is not a bad week.

Yards stay separate

Every record is pinned to the yard it belongs to, and the database itself refuses to hand one yard another's rows.

An audit trail you can trust

Vehicle edited. Payment recorded. Balance chased. Each one is logged with the person, the time and what actually changed.

Snapshots and a way back

A nightly copy of the ledger is kept off the machine, and a restore puts a yard back the way it was — without touching anyone else's.

Run several yards without mixing the books

A group login switches between yards, and each yard stays sealed off from the next — the same separation that keeps two unrelated businesses apart.

  • One login that switches between every yard you run
  • Each yard’s records stay separate, in the database itself
  • One accountant can cover several yards, without duplicate logins

Questions

How much does it cost?

KSh 5,000 a month for one yard, and free while the app is in beta. No setup fee, no per-seat charge, and no long contract. If you run several yards, talk to us and we will price it around that.

Why is there no per-seat pricing?

Because a shared login is how records get lost. Everyone on your team should have their own account and record what they handled as they handle it, so the price stays the same however many people you put on it.

Do I need a computer?

No. It works on a phone — add a vehicle or record a payment while a customer is still standing in front of you. It also installs to your home screen like an app.

Can my staff use it too?

Yes, and they will not see more than their role allows. Add an accountant who covers several yards and they can switch between them from the same login.

Will my SMS reminders cost me?

No. Every yard gets 200 SMS reminders a month, included in the price, and you can see how many are left before you send. You are never buying credit through us.

I already keep everything in a spreadsheet.

Import it and carry on. There is no need to start again.
